Secure, simple and cost-effective secure access

Quad Play Networks – a European technology company with 10,000 employees has been rapidly growing adoption globally.  To accommodate the growth, the company has expanded its global operations, which comes with its share of costs – from hiring to network infrastructure upgrades and protecting intellectual property.  With new offices and employees in ten different countries, Quad Play must also meet the diverse regulatory requirements for security, privacy, accounting, human resources and other business operations.

The Challenge:  Balancing costs and meeting regulatory requirements

Jonathan, the chief financial officer, has had to make some important decisions in this tremendous phase of growth.  Quad Play’s technology enables seamless connectivity but when it came to providing employees with access to corporate resources, they were behind because Jonathan was more concerned about tightening controls in order to protect the company’s intellectual property and customer records.  Ironically, by not facilitating access to certain corporate resources outside of company offices, employees often downloaded files onto their laptops or storage devices to work on them at home or bring to customer sites.

Some problems that Jonathan identified with his tightly controlled IT environment:

  • Escalating costs: Global offices were building their own redundant infrastructure and employees were issued hardware that were frequently lost or stolen.
  • Lack of controls: With 10,000 employees, Jonathan needed controls to ensure that they were complying with privacy, security and other regulatory requirements.
  • Retaining highly skilled employees: Quad Play hired the most skilled employees into its fun and entrepreneurial culture to develop market and sell its technology.  However, with this level of expertise, employees were constantly being approached by other companies.
  • Exposed intellectual property: There was an incident where an employee was poached by a competitor and the employee not only stole customer lists, he took proprietary technology designs – there was no audit trail until it was too late.

Implementing the Route1 Solution

Jonathan searched for an all-in-one solution that focused on security first and would facilitate secure access, as well as provide auditing mechanisms across the entire organization.  Jonathan came across Route1 since the U.S. Department of Homeland Security was using their identity and service delivery solution to provide identity-based access for teleworking and continuity of operations.

Specific advantages Jonathan identified with Route1’s solution

  • Low total cost of ownership: for the cost of supporting one laptop, several people were provided with TruOFFICE™ and given MobiKEY devices that allowed employees to securely access sensitive corporate resources.
  • Consolidated IT infrastructure: regardless of the number of offices, local servers were not required at each location.  This relieved strain on the number of IT administrators required to support their staff and expertise required to support remote employees, perform upgrades and constantly augment their network infrastructure.
  • Data and network protection: all data remained behind the corporate firewall so the only way employees were able to remove files was via email, which offered an audit trail.  Also, as soon as employees left the company, access to the network was immediately revoked by disabling their Route1 MobiKEY® and access to MobiNET® services.
  • Increased job satisfaction and productivity: since employees were offered more flexibility to work from home, telecommute and easily support customers with their new tools, Jonathan was confident that these perks would increase job satisfaction, employee retention and facilitate productivity.

Jonathan purchased TruOFFICE subscriptions and Route1 MobiKEYs for Quad Play’s work force and to assist the IT department with managing and provisioning the TruOFFICE service and MobiKEY deployment, and employ security policies and reporting mechanisms, Jonathan also purchased:

  • MobiNET Administration and Provisioning™ (MAP): A web-based portal that allows IT administrators within an organization to manage usage policies for subscribers of Route1’s services such as TruOFFICE and PurLINK, and products such as MobiVDI and Route1 MobiKEY. This simple-to-access provisioning tool also enables organizations to cost-effectively manage large-scale deployments of Route1’s products and services.
  • EnterpriseLIVE® AG: The EnterpriseLIVE AG is a hardware network appliance that allows IT administrators to monitor, manage and audit the network users within their organization. When installed on an enterprise network, the EnterpriseLIVE AG allows IT administrators to employ organization-specific IT security policies, perform audits and generate reports to comply with regulatory and security mandates, such as SOX, HIPAA and PIPEDA.

A Successful Implementation across the Organization

The IT department easily deployed the EnterpriseLIVE AG appliance into Quad Play’s network with very limited reconfiguration required and managed the provisioning and usage policies of MobiKEY and the TruOFFICE subscriptions using MAP. The MobiKEYs were deployed to Quad Play's employees who were able to set-up their remote access capabilities in less than five minutes.

After only a few months operating TruOFFICE and MobiKEY, Jonathan has already noticed the benefits of his decision:

  • No longer worries about the threat of data leakages from lost or stolen laptops
  • Quad Play operates knowing they are meeting their regulatory requirements
  • The low cost of additional TruOFFICE subscriptions and MobiKEYs allows Jonathan to provide more employees with secure access capabilities
  • Low start-up and maintenance costs
